Southwest Corridor Park Conservancy - Board Roles and Responsibilities

Board Term: A minimum of 2 years with an option to continue.
Time Requirement: Approximately 5-10 hours per month.
Meetings: 6 8 Board meetings per year plus committee/event participation throughout the year.
Overarching Board Responsibilities:
- To be prepared for meetings by reviewing materials and information provided in advance. If you are unable to attend a meeting, to notify the responsible person and arrange for participating in the plans that develop out of the meeting.
- Board members are expected to attend 90% of scheduled board meetings. Those members who do not attend 90% of board meetings may be requested to resign by the board.
- Timely follow-up of assigned actions from board meetings.
- To support fundraising and other event efforts through one of the following: paid attendance, committee participation, or recruitment of attendees.
- To provide advice, counsel and other support to the organization by offering resources within relevant areas of your personal expertise.
- To maintain the confidentiality of all board meetings and ensuing discussions.
- To respect other members and conduct business of the Conservancy within appropriate parameters.
Specific Roles:
President The President has overall responsibility for leading the Conservancy in a strategic direction that supports the mission statement. Principal Duties:- Leads the effort to define the long-term strategy for the Conservancy.
- Sets annual strategy and budget.
- Chairs board meetings.
- Provides leadership to the Board and resolves disagreements.
- Interacts with other conservancies and business groups that benefit the Conservancy.
- Maintains a working relationship with DCR and PMAC.
- Cultivates members for potential Board positions.
- Works with Fundraising Chair to set fundraising goals.
- Delegates responsibilities to Board members as appropriate.
- Works with the President to develop the annual budget.
- Provides fiduciary over site of Conservancy financial assets.
- Provides quarterly budget to actual updates to the Board.
- Prepares annual financial statements.
- Ensures all expenses are properly approved.
- Oversees investments as appropriate.
- Maintains bank accounts, deposits receipts and pays bills.
- Prepares and submits annual tax filings.
- Prepares and submits annual state organization documents.
- Ensures that thank you letters for donations are written and mailed.
- As appropriate, participates on committees.
- Works with the President to determine the meeting schedules and meeting agendas. Schedules each meeting and distributes agenda.
- Takes the minutes at each meeting and distributes to the Board.
- Maintains legal documents on behalf of the Conservancy.
- Follows-up with Board members on assigned actions.
- As appropriate, participates on committees.
- Works with the President to develop the annual fundraising strategy to achieve planned projects.
- Presents fund raising strategy and budget to the Board for approval prior to execution.
- Leads fundraising activities and creates related communications such as the annual postcard campaign or letters .
- Identifies funding sources such as new grants, company contributions and individual contributors.
- Maintains relationships between the Conservancy and contributors.
- Researches fund raising strategies of other groups such as Titus Sparrow Park and the Emerald Necklace Conservancy.
- Works with Communications Coordinator to keep fundraising contacts current.
- Coordinates all volunteer activities such as clean-up days, plantings and events.
- Communicates to volunteers on upcoming events.
- As potential volunteers respond to requests for help, creates a schedule for the event, and transmits all logistical information to the volunteers in a clear and timely way.
- Collects emergency contact information.
- Responds to questions by email and phone as the main contact person for volunteers.
- Ensures that arrangements are made for water, food, and breaks as appropriate.
- Ensures volunteer information is current on the Conservancy website.
- Replies to requests for information about volunteering that are received through the website, corresponding with potential volunteers about their interests and abilities.
- Represents the Conservancy at volunteer/community events specific to the Southwest Corridor.
- Interacts with other volunteer organizations, neighbors and others to increase participation. Eg: Boston Cares.
- Works with the President and other committee chairs to draft and coordinate the sending of communications for events and activities (both electronic and non-electronic.)
- Establishes relationships with the media and other communication vehicles to promote the visibility of the Conservancy such as press releases.
- Responsible for ensuring the website content is current.
- Responsible for ensuring the member database is current.
- Works with the park stewards on restoration and park maintenance.
- Leads the effort to develop/update a master plan for plantings and related maintenance in concert with the President, PMAC and DCR.
- Works with the Volunteer Coordinator on planting and maintenance programs based on the master plan.
- Is the liaison with the DCR to coordinate resources that support the master plan.
